Role: Associate Producer

 

We are seeking someone to join our production team who thrives in a fast-paced, creative environment. This role will be at the heart of our operations—balancing logistics, vendor coordination, production planning, and day-to-day organizational excellence to ensure our ideas come to life seamlessly.

 

 

 

Role Overview

 

 

The Associate Producer is responsible for supporting the end-to-end production process across client projects and managing the internal systems that keep Sommwhere running smoothly. This role bridges the creative and operational sides of the business, ensuring projects are delivered on time, on budget, and at the highest quality standard.

 

Key Responsibilities

 

Production & Project Coordination

- Support Creative Director in planning, scheduling, and executing experiential design projects.

- Source, negotiate, and manage relationships with vendors, fabricators, and contractors.

- Track project timelines, deliverables, and budgets, ensuring alignment with client expectations.

- Oversee on-site production support, including installations, event builds, and strike/tear-down.

- Maintain project documentation, production schedules, and post-project wrap-up reports.

 

 

 

Operations & Administration

 

- Use internal operations systems, workflows, and tools to ensure efficiency.

- Support financial tracking, including purchase orders, and budget reconciliations.

- Coordinate team schedules, ensuring all vendors show up on time for each event.

- Maintain an organized database of vendors, freelancers, and production partners.

- Assist leadership in optimizing processes, scaling operations, and identifying areas for improvement.

 

 

 

 

Qualifications

 

- 2–4 years of experience in production, operations, or project coordination—preferably in experiential design, events, creative agencies, or related industries.

- Strong organizational and multitasking skills with sharp attention to detail.

- Excellent communication and interpersonal skills, comfortable interfacing with clients, vendors, and creative teams.

- Proficiency with project management tools, and creative suite (e.g., Adobe CC, Asana, Monday.com, Airtable).

- Budget management and vendor negotiation experience a plus.

- Hands-on, problem-solving mindset with flexibility to adapt in high-pressure environments.

- Willingness to travel and work occasional evenings/weekends during live projects.
